From our Project Managers to our exacting quality control process and project design meetings, our effective project management procedures help ensure that you are completely satisfied with the services we provide—every time.
You will be assigned a dedicated Project Manager who will develop an in-depth understanding of your specific document management needs and will be responsible for ensuring your complete satisfaction with the quality, accuracy and timeliness of every project we do for you.
Your Project Manager provides the convenience and reassurance of a single point of contact for all service matters. In addition, all our Project Managers work together as a team to provide backup support, as needed. Each Project Manager is made aware of your specific project requirements and can answer questions and take action if your dedicated Project Manager is ever unavailable.

- Developing a detailed Statement of Work to ensure strict adherence to all project-specific requirements.
- Overseeing the quality control process at our metro New York facility, to ensure the accuracy and completeness of each project.
- Keeping you informed on the status of each project.
- Responding quickly to all your questions and project exceptions as they arise.
- Ensuring delivery of completed work on a timely basis.

| Our Project Managers receive in-house training in our services, software, proprietary quality control procedures, tracking system, communication protocol, and technological infrastructure. But more important, they are knowledgeable, friendly and honest professionals who will become a trusted “go to” source for all your service requests. They are easy to talk to, responsive to your questions and willing to do everything they can to ensure you’re happy with the work we do for you. |

Ensuring Adherence to Job Specifications
Before we begin work on any project, we confirm all job specifications with you to ensure our work is done with the utmost quality, accuracy and attention to detail. We’ll develop a customized, detailed Statement of Work for your review and approval that includes: |
- Deadlines
- Indexing criteria
- Document preparation
(how to handle stapled documents, file folders, etc.)

- Pickup and delivery schedule
- Output formats
- Exception handling
- Scanned file delivery method and more

Once you approve the Statement of Work, your Project Manager will brief all scanning and indexing personnel working on your assignment at our production facility to ensure they understand all job specifications, and that each project is done accurately, on-time and of the highest quality.

Exacting Quality Control Process
We combine manual and automated quality control procedures to ensure the accuracy of every project we do. Your Project Manager is responsible for overseeing the entire quality control process—from setting up the project through to its completion and delivery—including: |
- Project-specific training for assigned scanning and indexing technicians.
- Quality control of scanned files for image completeness, clarity and contrast.
- Running data through validity, formatting and accuracy checks.
- Verification of inventory logs for document receipt and delivery.
- Running acceptance tests before job commencement, if requested.
